The Texas High School Athletic Directors Association (“THSADA,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the personal information you share with us. This Privacy Policy explains what information we collect through our website, thsada.com (the “Site”), and in connection with our membership programs, events, and communications; how we use that information; and the choices available to you.
By using the Site or providing information to THSADA, you agree to the collection and use of information as described in this Privacy Policy. If you do not agree with this policy, please do not use the Site or submit personal information to us.
2. Information We Collect
Information you provide directly to us:
- Membership Information: Name, title, school or district affiliation, ethnicity, mailing address, email address, and phone number when you apply for or renew membership.
- Event Registration: Attendee names, contact details, and session preferences when you register for our annual conference, workshops, or other events.
- Payment Information: Billing name, billing address, and payment details submitted when paying membership dues, event registration fees, or sponsorship fees. Payment card information is processed by our third-party payment processor and is not stored on our servers.
- Newsletter Signups: Email address and name when you subscribe to our newsletter or email updates.
- Correspondence: Any information you choose to provide when you contact us through the website, by email, or by phone.
Information collected automatically:
- When you visit the Site, we and our analytics provider automatically collect certain information about your device and browsing activity, including IP address, browser type, operating system, referring URLs, pages viewed, and the dates and times of visits. This information is collected through cookies and similar technologies, as described in Section 5 below.
3. How We Use Your Information
We use the information we collect to:
- Process and manage memberships, including applications, renewals, and member benefits;
- Register attendees for conferences, workshops, and other THSADA events, and communicate event logistics;
- Process payments for dues, registrations, and other fees;
- Send newsletters, announcements, and other communications about THSADA programs, events, and industry news;
- Maintain our membership records and, where applicable, publish a member directory available to other members;
- Respond to inquiries and provide member support;
- Analyze Site usage to improve our website, content, and services; and
- Comply with legal obligations and enforce our policies.
4. Payment Processing
Payments made through the Site are handled by a third-party payment processor. When you submit payment information, it is transmitted directly to the processor in accordance with its own privacy policy and security standards. THSADA does not store full payment card numbers on its own systems. We retain only limited transaction records (such as the amount, date, and confirmation of payment) needed for accounting and membership administration.

The Site uses cookies — small text files placed on your device — to help the Site function properly and to understand how visitors use it.
We use Google Analytics, a web analytics service provided by Google LLC, to collect information about Site traffic and usage patterns. THSADA does not sell, rent, or trade your personal information. We may share your information only in the following circumstances:
- Service Providers: With vendors that help us operate the Site and our programs, such as our payment processor, email marketing platform, event registration platform, and website hosting provider. These providers are permitted to use your information only to perform services for us.
- Member Directory and Event Materials: With other THSADA members through a member directory or attendee list, where applicable. If you prefer not to be included, contact us using the information in Section 13.
- Event Sponsors: THSADA sponsors and partners may receive contact information (Name, email, phone number, job title and affiliated school/ISD) for THSADA event registrants/attendees
- Legal Requirements: If required to do so by law, regulation, subpoena, or other legal process, or to protect the rights, property, or safety of THSADA, our members, or others.
- Organizational Changes: In connection with any reorganization, merger, or transfer of THSADA’s operations, in which case we will require the recipient to honor this Privacy Policy.
7. Email Communications and Your Choices
If you subscribe to our newsletter or provide your email address as a member or event registrant, we may send you periodic emails about THSADA news, events, and member resources. You may unsubscribe from marketing emails at any time by clicking the “unsubscribe” link included in each message or by contacting us directly. Please note that we may still send you transactional or administrative messages related to your membership or event registrations (such as renewal notices or registration confirmations) even if you opt out of marketing emails.
8. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information from unauthorized access, use, alteration, and disclosure. However, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping any account credentials confidential.
9. Data Retention
We retain personal information for as long as needed to fulfill the purposes described in this Privacy Policy, including maintaining membership records, complying with legal, accounting, and reporting obligations, and resolving disputes. When information is no longer needed, we take reasonable steps to delete it or render it anonymous.
10. Children’s Privacy
The Site and our membership programs are intended for adult professionals in athletic administration. We do not knowingly collect personal information from children under the age of 13. If you believe a child has provided us with personal information, please contact us and we will take steps to delete it.
11. Third-Party Links
The Site may contain links to third-party websites, including sponsor, vendor, and partner sites. This Privacy Policy does not apply to those websites, and we are not responsible for their content or privacy practices.
